Water Gardens uses many parts of the Google Suite of business products to provide a website, and to assist in the administration of the community.
This page covers the Water Gardens Google account based on "watergardens55@gmail.com". This account has been in continuous use since 2006 in order to provide our Water Gardens community calendar. In the past year, we have expanded the use of this Google account to take advantage of a wide range of Google business products:
Gmail - This is the email account used by the website for Contact Us, and a variety of other purposes.
Calendar - The Google calendar associated with this account is our community calendar.
Google Sites - Our WaterGardens55.org website is built on the Google Sites platform, provided by this account.
Google Forms - We use a number of Google Forms, to provide the various online forms we require.
Google Drive - We use the associated Google Drive to store among other things our Google Docs and Sheets.
Google Photos - We use Google Photos on this account to provide images and slideshows of our community.
This is the KEY account for all of Water Gardens, so it is essential that we have guaranteed access to it. Initially, we have decided that the credentials used will be those of the chairperson of the Tech Committee, currently Eva Hayward.

The forms used by Water Gardens are separated from this account. Instead they are created and maintained on the Google account, "wgforms55@gmail.com". The purpose is that there are reports that if an alert email recipient, for whatever reason, reports the blast email as "scam" or simply "complains", then Google can without warning, shut down the site with forms on it. To prevent this unlikely occurrence from happening to our PRIMARY Google account, "watergardens55@gmail.com", we have moved the forms away from it.
Because the Master Directory is populated in part from the two forms, 'Gate Access Form" and "New Resident Intake Form" (both on the Public Menu of the website), the Master Directory is located on the Forms website (wgforms55@gmail.com). Then a separate directory is created on the main website (watergardens55@gmail.com), and the data is automatically imported using the "importrange" formula. This effectively creates a "read only" version of the directory.
The Master Directory includes both Emergency Contact information and Gate Access information. This extra information is NOT imported into the display directory on the main site. This means that the WGOA Board and any others with the need to know will need to go to the wgforms55@gmail.com Google Drive to find the Master Directory.
Both the Directory Custodian (Joan Calvery) and the Gate Custodian (Art Aske) will directly maintain this Master Directory on wgforms55@gmail.com.
Many of the images used on the Water Gardens website are either uploaded from a PC, or are located in the Photos part of the watergardens55@gmail account.
However, the Activities Committee, wishing to have photos taken at social activities and posted by a designated person (Jean Gordon at the moment), wanted the designee to have access to to the Google account, created a separate Google account just for photos, "wgactivities55@gmail.com". At the moment Jean takes images with her iPad, and posts them to an album in the wgactivities55@gmail.com photo album named "2024".
In addition, Roger Matthews has created several albums on this site called "collections". These are displayed via the Public Menu item, "Photo Gallery".
